Room Rental Request

Please complete and submit this form to begin the room reservation process. Reservations are not finalized until confirmed by Active Adult Staff. All reservations are subject to availability. You will be contacted within 48 hours of staff review during our business hours (Monday – Friday, 8am – 5pm). We ask that you review the Active Adult Center Room Rental Information Sheet prior to completing the reservation form.

Rental Timeframes:
Fridays: 6pm – Midnight
Saturdays: 8am – Midnight
Sundays: 8am – Midnight

Applicant Address
Please include time you need for setting up the room and cleaning it up. Rooms can be rented for up to 8 hours.
Round tables can accommodate up to 8 people.
6' tables can accommodate up to 6 people.
8' tables can accommodate up to 6 people.

Guidelines

  • A $150 security deposit is required at the time of booking and must be paid on a credit card. This deposit is nonrefundable if the event is cancelled by the renter less than two weeks before the scheduled date. The deposit will be refunded within five business days after your event if all conditions are met and there is no damage to the facility or grounds as a result of your rental.
  • Rental of an event hall or class room does not include usage and/or admission to the Active Adult Center.
  • You are welcome to decorate table and have balloons; however do not affix anything to the walls, windows, or ceiling. Decorations such as glitter, confetti, pinatas, or open flame candles are not allowed along with popcorn and gum.
  • Please keep the service and consumption of food and beverages within the reserved room only.
  • During your rental you will only be able to utilize the space(s) you reserved. All other areas of the center will be unavailable.
  • As the reservation holder you must be present at the facility during the hours of approved use.
  • You are only permitted to use the room during your reserved time. Rooms will not be made available before the scheduled start time. Guests staying in their space past the scheduled will be charged an additional hour and will be asked to leave.
  • No outside tables or chairs are permitted.
  • You are responsible for the room’s condition. If it is left excessively dirty, with unauthorized decorations, or damaged, a $50.00 cleaning/repair fee may be assessed. Please check with staff before leaving to confirm the condition of the room is acceptable.
  • Please plan on supplying your own party supplies (plates, cups, napkins etc.).
  • Smoking is only permitted outside, in designated areas.
  • Alcohol requires a permit and the following stipulations;
    • $150.00 damage deposit
    • Cash bars are not permitted.
  • Recreation Staff are responsible for opening and securing the facility, being visible and helpful for all reasonable questions and accommodations. Custodians and/or Recreation Center Staff are not available for the exclusive use of any rental group.
  • The City of Thornton and the Active Adult Center are not responsible for any lost or stolen items during your rental.
  • Unusual rowdiness or physical/verbal abuse to a staff member, patron, or City property may result in the immediate termination of your event.
  • As the renter, you are held responsible for all facility damages and injuries that occur during your rental done by you and/or your guests. The city is not liable for any of such damages or injuries. This includes injuries obtained or damage incurred on the property, both inside and outside the building/facility. Should any incidents occur, you are required to notify staff immediately.

All rentals are subject to availability. Submitting this form does not finalize your rental. Staff will contact you within 48 hours to review and confirm your reservation.
