Field Rental Request



Please complete and submit this form to begin the field reservation process. Reservations are not finalized until confirmed by Recreation Staff. All reservations are subject to availability. You will be contacted within 48 hours of staff review during our business hours (Monday – Friday, 8am – 5pm). We ask that you review the Athletic Field Rental Agreement prior to completing the reservation form.

Guidelines

  • City of Thornton staff reserves the right to assign different location based on your needs and field availability.
  • Once your application is approved you will be notified by Staff- full payment is due prior to a permit being issued.
  • If lights are approved for your rental- light times (start & end) must be agreed upon when the permit is issued as lights are preset. Lights can be turned off if your event is cancelled by calling Recreation Staff prior to 4pm. If lights are left on- you will be charged.
  • If fields are closed due to inclement weather you will be notified by 3pm. A credit for another rental will be issued for a later date.
  • Should weather move in after staff has left for the day- we ask you to make the best judgement call on if the field is playable or if you will do damage. If you choose to cancel for weather reasons (lightening, rain) it is your responsibility to notify staff within 24 hours and a credit will be issued for another date. If staff is not notified or lights are left on the full charge will apply and no refund will be issued.
  • When frost exists, play may be delayed.
  • There is no play on snow covered fields.
  • There is no snow removal allowed on synthetic turf fields- this includes the use of shovels.
  • Grass or dirt infields that have standing water or spongy conditions are not playable fields.
  • As the permit holder you must be present at the field during the hours of approved use.
  • Field Supervisory staff may be available Monday-Friday from 4-8pm.They may request to see your permit- please make sure you have a copy (digital is acceptable) if you are asked.
  • The Field Supervisor has the right to ask you to leave a field if there are any issues- Physical/verbal abuse to a staff member or City property may result in the immediate termination of your permit.
  • If your field is locked the Field Supervisor will unlock your field prior to your Start time. Do no plan for access more than 5 minutes prior to your rental start time.
  • All rentals are subject to availability. Submitting this form does not finalize your rental. Staff will contact you within 48 hours to review and confirm your reservation.
